COVID-19 Safety Policy

Following the Government’s guidance updated on the 4th January 2021, we are still able to arrange appointments for viewings and appraisals. We will, of course, be adhering to the strict government and social distancing guidance and will continue to offer virtual viewings and virtual appraisals in the first instance.

The safety, health and well-being of our employees and customers is still our number one priority, but we appreciate that we have a duty of care to our clients. We are operating to our usual office hours; however, we are also able to offer further flexibility than usual to accommodate evening appointments on request.

Working Safely during Covid-19

We have taken this opportunity to provide you with our own policy to ensure our usual service can be offered safely, and with minimal risk to all parties concerned. Our policy is in line with the Government guidance which was last updated on 4th January 2021.

Before booking viewings or appraisals, we will ensure that any property occupiers are not self-isolating or shielding. If anyone is self-isolating due to being classed as vulnerable, for health reasons or shielding within the property, we do advise not to proceed with appointments at this time, or to seek medical advice on how best to proceed. Should you wish to go ahead we must be informed to enable us to maximise the safety precautions put in place.

If property occupiers, viewers, or those wishing to book a market appraisal have had symptoms of Covid-19 or anyone within the same household has experienced any symptoms within the past 14 days we will not be able to arrange any appointments until the required self-isolation period is fulfilled for each household member.

Those wishing to view property will be provided with a virtual viewing to ensure they are serious; this will minimise the number of people entering each property.

If a viewing is requested after watching the virtual viewing, we will arrange a viewing on a day and time to suit all parties.

For appraisals, we will offer a virtual appraisal in the first instance if preferable. If the property is occupied, we are able to arrange an appointment to visit and our representative will adhere to social distancing and safety measures at all times.

All appointments will be kept as short as possible, ideally 15 or 20 minutes inside the property. In addition, for viewings, no open house events are permitted at this time.

We will strictly adhere to the following when carrying out all appointments:

Appraisals:

When preparing for an appraisal, property occupiers should ensure all internal doors are open to minimise contact with door handles, and ensure there are windows open in each room to ensure good ventilation is maintained.

When visiting our representative will be require to use hand sanitiser or hand wipes before entering the property.

Those in attendance should involve no more than 2 households inside the property at any one time. This includes our representative. Anyone in a support bubble however, will count as part of that household.

We ask that Vendors stay together throughout the appointment where possible to allow enough space for our representative to follow them through the property.

Social distancing of 2 meters (1 meter if not) must be adhered to at all times throughout the appointment. Face coverings to be worn by all parties (unless a serious health condition prevents this).

To keep time spent inside the property to approximately 15-20 minutes, any discussions should take place outside in the open air to avoid any unnecessary conversation in the confined space of the property.

Viewings:

When a viewing is scheduled, property occupiers should ensure all internal doors are open to minimise contact with door handles and ensure there are windows open in each room to ensure good ventilation is maintained.

Occupiers must vacate the property at least ten minutes before the viewing to avoid any accidental contact. If they are self-isolating, we will discuss the best course of action on a personal one on one basis.

When arriving at an unoccupied property for a viewing, our representative will arrive early wearing new disposable gloves and use standard household cleaning wipes on all door handles within the property and will open all internal doors to minimise contact with door handles.

Viewers must wait in their car/outside the property for the Negotiator to arrive. Our representative and each viewer will be required to use hand sanitiser or hand wipes before entering the property. If wishing to wear disposable gloves instead, these must be new and unworn previously. Viewers will be asked not to touch anything within the property unnecessarily.

Those viewing should involve no more than 2 households inside the property at any one time. This includes our representative accompanying either party. Anyone in a support bubble with either household, however, will count as part of that household.

Viewers are asked to not take food and drink items into the property are & are asked not to touch anything in the property.

Travelling to appointments:

Our representative will travel alone to appointments and will not be permitted to take viewers to appointments in their car. They will also take with them an essential kit comprising of Items relevant to COVID-19 to include a mask or face covering, tissues, hand wipes or hand gel, standard household cleaning wipes and disposable gloves. This in addition to a note pad and paper.

Greeting viewers and other people in attendance:

When viewers arrive at a property, our representative will introduce themselves as they normally would and explain that due to social distancing, they are unable to shake hands. We will also not allow the touching of elbows. They will then explain how the appointment will be conducted to ensure social distancing is maintained.

If viewing in a pair from the same household you will be asked to stay closely with your viewing partner during the viewing and not to separate as this will allow our representative to lead you through the house and show you each room. This will minimise any difficulties with social distancing, especially in smaller properties.

During appointments:

Our representative will not share pens, paper, or any other objects during the appointment with anyone in attendance. When carrying out viewings they will also ask viewers not to touch anything within the property and if this is done accidentally, they must be told which surface, so they can inform the property occupier. No food or drink will be permitted to be taken into a property. Under no circumstance will the use of toilets be allowed.

Ending appointments:

Weather permitting, our representative will hold all end of appointment discussions outside of the property, maintaining social distancing. If it is raining these will take place in the largest room in the house, or if the house is very small they will ask to do this over the telephone later that day. Feedback from viewings will be provided to the property owner either by phone or email as soon as practically possible after the appointment.

After the appointment:

After viewings, we advise property occupiers wait at least an hour before entering the property after a viewing has taken place to ensure a good amount of airflow and to allow the representative to ensure everything is on order before they leave. Although our representative will try to ensure nothing is touched by the viewers, and will inform them if it is by accident, we do advise wiping down door handles and hard surfaces.

Personal Protective Equipment:

In line with the latest Government advice, face coverings or masks must be worn in shops and confined indoor spaces from the 24th July 2020. We therefore ask that anyone visiting our office, and each person attending appointments for viewings or appraisals to ensure they wear a face covering or mask for the duration. If a person is exempt due to their age or a medical condition please advise us that this is the case so we are aware. If desired, disposable gloves or shoe covers may also be worn, but these must be new and unworn to risk cross contamination.

My Place Estate Agents Contractors:

We contract work to trusted outside organisations for property videos, photography, floor plans and EPC assessments. All our contractors are aware of our Covid-19 safety policy and will adhere to our guidance, in addition to their own company policy. Where their own policy is available, we will supply you with a copy before arranging any appointments for them to visit your property.
